Position Summary
The Program Coordinator plays a central role in the successful delivery of employment preparation program. This position is responsible for coordinating daily program operations, supporting staff, maintaining accurate program documentation, and ensuring clients receive high-quality, wraparound services. The Program Coordinator acts as the link between staff, clients, employers, and community partners, ensuring accountability, efficiency, and alignment with BGS Career Ventures’ mission and the contractual obligations with the Government of Alberta.
Key Responsibilities:
Program Coordination & Administration
Oversee day-to-day program activities to ensure efficient operations and service delivery.
Support intake and client flow processes, ensuring continuous intake of 15 clients per month is managed effectively.
Maintain program schedules, calendars, and communications, including workshops, employer events, and follow-up appointments.
Ensure accurate and timely data entry and reporting in Compass, Mobius, and ALSS reporting systems.
Assist with budget tracking, procurement of program supplies, and administrative tasks.
Staff and Service Support
Support onboarding of new staff and coordinate staff training sessions.
Provide guidance to Career Consultants, Service Navigators, and Employer Developers in managing client progress and employer partnerships.
Ensure staff follow protocols for individualized service planning, wraparound supports, and job maintenance processes.
Foster a collaborative, accountable, and client-centered culture within the program team.
Client & Employer Engagement
Act as a resource for staff when addressing client issues, ensuring appropriate referrals and wraparound supports are activated.
Support coordination of Work-Based Learning (WBL) placements, including employer agreements, wage subsidy documentation, and monitoring schedules.
Maintain positive relationships with employers, community partners, and stakeholders to expand opportunities for clients.
Monitoring, Evaluation & Compliance
Support program evaluation by collecting client and employer feedback, tracking outcomes, and preparing reports.
Ensure program activities meet standards outlined in Section 3.1 Services of the contract.
Contribute to risk management planning by identifying challenges early and working with staff to implement mitigation strategies.
Qualifications
Post-secondary education in Human Services, Social Sciences, Business Administration, or a related field.
Minimum 3–5 years’ experience in program coordination, employment services, or community-based program delivery.
Strong understanding of Alberta’s labour market, employer engagement strategies, and the needs of high-barrier jobseekers.
Demonstrated experience in client-centered service delivery and knowledge of wraparound supports.
Proficiency in MS Office Suite and client management databases (Mobius, Compass, or similar).
Exceptional communication, organizational, and problem-solving skills.
Knowledge of community resources, employment standards, and social service systems in Edmonton.
